New Process for Issuing Resident Trust Deposit Receipts

Effective immediately, there is a new process for issuing trust fund deposit receipts.

Issuing Receipts (during normal business hours)

When funds are received by the trust fund custodian:

  • Record the deposit in RFMS.
  • Print the Deposit Receipt from RFMS immediately after posting the deposit and sign the receipt. Print another receipt and provide it to patient/family member, if applicable.
  • For the state of Virginia only, the state requires the use of a separate pre-numbered receipt book. Issue the white pre-numbered receipt and attach a copy to the corresponding RFMS Deposit Receipt.
  • Retain RFMS Deposit Receipts in your monthly Resident Trust folder.
    • The RFMS Deposit Receipt now has a pre-numbered (sequential) receipt number that begins with the letter “D” (e.g., D000001). It is no longer necessary to enter a “D” when entering the record number. You will continue to enter a date followed by the transaction number for the day (e.g., 0815151 would be for the first deposit transaction recorded on 08/15/15 and 08151599 would be for the ninety-ninth transaction recorded on 8/15/15).

When receipts are issued by someone other than the trust fund custodian:

  • Using a designated Resident Trust deposit receipt book, issue the white pre-numbered receipt and sign it.
  • Keep the white signed receipts in a folder and provide folder to the trust fund custodian on the next business day.
  • On the next business day, the trust fund custodian records deposits into RFMS for each receipt contained in the folder, prints an RFMS Deposit Receipt, and attaches the white receipt to the corresponding RFMS Deposit Receipt.
  • Retain RFMS Deposit Receipts with the attached pre-numbered receipts in your monthly Resident Trust folder.

New Process for Recording Resident Trust Disbursements

Effective immediately, there is a new process for recording and logging resident trust fund disbursements.  The new process eliminates the Resident Trust Fund Cash and Check Disbursement Logs.

Recording Disbursements (during normal business hours)

When funds are disbursed by the trust fund custodian:

  • Record disbursement in RFMS at the time the transaction occurs.
  • Print a Withdrawal Receipt from RFMS immediately after posting the disbursement (which replaces the process of recording transactions on the disbursement log), using the Print Receipt button that was added to the withdrawal record data entry grid.
  • The authorized person requesting the disbursement must sign the Withdrawal Receipt (which replaces the process of putting signature on disbursement log).
  • For the state of Virginia only, the state requires the use of a pre-numbered receipt book and disbursement logs. Obtain signature on the white pre-numbered receipt and attach it to the corresponding RFMS Withdrawal Receipt (it is not necessary to obtain a signature on the RFMS Withdrawal Receipt). Follow existing procedures for recording the disbursement on the disbursement log.
  • Retain signed RFMS Withdrawal Receipts, or RFMS Withdrawal Receipts with attached signed pre-numbered receipts, in your monthly Resident Trust folder.

The RFMS Withdrawal Receipt now has a pre-numbered (sequential) receipt number that begins with the letter “W” (e.g., W000001, W000002, etc.).  It is no longer necessary to enter a “W” for disbursements when entering the Record Number.  You will continue to enter a date followed by the transaction number for the day (e.g., 0815151 would represent the first transaction recorded on 08/15/15 and 08151599 would be for the ninety-ninth transaction recorded on 8/15/15).

Recording Disbursements (outside normal business hours)

When funds are disbursed by someone other than the trust fund custodian:

  • Using a designated Resident Trust disbursement receipt book, issue the white pre-numbered receipt and obtain signature of authorized person requesting the disbursement.
  • Keep the white signed receipts in a folder and provide folder to the trust fund custodian on the next business day.
  • On the next business day, the trust fund custodian records disbursements into RFMS for each signed receipt, prints an RFMS Withdrawal Receipt, and attaches the white signed receipt to the corresponding RFMS Withdrawal Receipt (you do not have to obtain signature on the printed RFMS Withdrawal Receipt).
  • For the state of Virginia only, follow existing procedures for recording the disbursements on the disbursement log.
  • Retain RFMS Withdrawal Receipts with the attached signed pre-numbered receipts in your monthly Resident Trust folder.

Recurring Transactions

Patients who authorize payment of recurring transactions will continue to do so by signing the Recurring Authorizations form.  When the RFMS Withdrawal Receipt is printed, the LivingCenter must note “authorization on file” on the receipt’s signature line.

Source Codes

The company is working with NDC to implement standardized source codes so that all LivingCenters will have access to and utilize the same codes.  LivingCenters will be notified of the implementation date, once a date is established.

Effective immediately:

  • Do NOT add any new source codes.
  • Source code “Miscellaneous – 99” cannot be used unless you get approval from your business office consultant.

When the Print Receipt option is selected in RFMS, a Notes box appears that can be used for recording additional specific details about the disbursement.

Get Ready for 2016 Open Enrollment

Open Enrollment is your opportunity to enroll in and/or make changes to your benefit plans and your covered dependents for the 2016 plan year. Open Enrollment begins October 26 and ends November 6. Because Open Enrollment is an important decision-making time, there are a few things you may need to do to be informed and ready to make your 2016 enrollment choices.

What to Do Now to Prepare for Open Enrollment

  1. Be sure to update your home/mailing address in PeopleSoft Self Service. We will use your home mailing address to send you an Open Enrollment kit with important details about your 2016 benefits and a personalized benefits enrollment statement that lists the plans you will be eligible for and the 2016 plan costs.
  2. Determine if you plan to add/or enroll any new dependents for coverage during Open Enrollment. Make certain you provide dependent relationship verification documentation for any new dependents you wish to enroll during Open Enrollment. It can take time to get your documentation together, so start early to make the deadline. Dependent Verification deadline is October 30.
  3. Get Your Know Your Numbers Health Screening (KYN) if you are a Golden Health Plan Member. The screening will qualify plan members for a low 20% or 30% coinsurance level of coverage starting in 2016. The KYN health screening deadline is November 1 for Provant, the program administrator, to receive your completed screening form. Click here for program qualification details.

WALK! with Aegis Therapies Leads to New Olympians

Last year, Aegis Therapies Wellness Coordinator Sarah Talimonchuck along with Aegis Therapies Wellness Coordinator Tracy Vogel incorporated the WALK! with Aegis Therapies theme and activities into the fitness program with huge success.  When Sarah invited the director of the Missouri State Senior Games, Dave Fox, as a motivational speaker last year, she had no idea how it would impact her patients at Park Place Senior Living at WingHaven® in St. Louis, Mo.

Inspired by Sarah’s continued support and encouragement during wellness sessions as well as various events during the WALK! with Aegis Therapies in 2014, both George Abbe, 95, and Larry Rufkahar, 60, decided to focus their energies on training for the local St. Louis Senior Olympics while in Sarah and Tracy’s program. After the 2014 WALK! with Aegis Therapies events, George began his training in October for weight lifting and a few other events like shot put that work the same muscles.

According to George, “Sarah emphasizes a gradual build up to different exercises with form first and then an increase in weights.” He continued, “she makes the training fun and keeps us motivated to do 30 minutes every day with her guidance.”

Larry chimed in about the number of activities available to seniors. “They have everything you can imagine, if you are interested, from pistol shooting to tiddlywinks,” said Larry as the group interviewing him laughed at the last event description.

George and Larry compete in bench press, arm curl, shot put and a couple of other events.

George lives in the independent living section of Park Place with his wife Joan who also stays very active every day. They have lived in this part of Park Place for the past three and a half years. Larry moved into the assisted living section of Park Place and after a lot of hard work, he was able to reach his goal and move into independent living after about a year.

George and Larry both enthusiastically agree that anyone thinking about getting more active or involved in something like the Senior Olympics should just do it. The activities keep them busy as well as allowing them to meet so many more people. They also add that it is important to accept that you may fail, but to do your best and accept failure. It is part of the process that makes you better.

Aegis Therapies has developed approximately 82 classes at Park Place that aid an active lifestyle for different levels of ability including strengthening for beginner and advanced, cardiovascular endurance for beginner and advanced, flexibility, brain power, senior yoga, tai chi, balance for beginner and advanced and aquatics.

For the 2015 WALK! with Aegis Therapies week-long events, Sarah said that they are ready for another exciting year. Sarah mentioned lining up George and Larry to speak as this year’s motivational speakers. “I still have to convince George and Larry to speak. They are truly inspiring,” said Sarah. “The best motivation for our seniors is seeing and hearing from their peers.”

We have developed a passport to wellness so participants can get a stamp in it each day for attending that day’s events. A drawing is held at the end of the week for prizes of hand weights, pedometers and other small items.

Keeping it exciting, Sarah is working on some events that are outside of the team leader guide from the WALK! with Aegis Therapies for this year. She has had requests to tie in dancing exercises like zumba into a daily event and is working on incorporating this event. She also tied into the nutritional wellness aspect of active aging by planning a field trip for her seniors.  Seniors will be taken on a field trip to Whole Foods Market for a nutrition demonstration and lunch in the café. In addition to the occupational therapy day, Sarah has thrown in brain power fitness and included counting in a different language each day of Active Aging Week.

This year Sarah and team has invited Bill Cannon, a repeat Senior Olympian in his 80s to be their motivational speaker. He is sure to make an impression as he has been competing since his 60s.

Having something new and fun to try during the WALK! with Aegis Therapies is a great way to get seniors involved and excited about active aging. George and Larry are great examples of how seniors can get motivated and active by just attending the WALK!. It is never too late to add to your WALK! events.

The first poster (GL-13140-15 Family) should be placed in a common area where it will draw the attention of our residents, family members and visitors. All previous versions of the posters should be replaced.

The second poster (GL-13140-15 Employee) is oriented toward employees and should be placed in employee-focused areas, such as the break room.

Resident Views Life Differently with EnerG Fitness Classes

Working with older adults is both rewarding and can be challenging when helping residents to live with purpose. Every day the goal to enrich our residents’ lives is top of mind with the EnerG Coordinators & Directors around the country. Thank you to Kori Dahlberg, Wellness Coordinator, Holy Hill, Florida , for sharing this special story.

We have a resident that was experiencing very strange, unusual circumstances that left her completely blind. The resident would share with me when she lay her head down at night that she wished she would not wake the next morning. Kori, began using EnerG 1:1 programming that focuses on consultative approaches and techniques. I hoped this would boost her spirits and after a few weeks she began attending my Endurance, Strength & Flexibility (ESF) class two times a week. I knew she would enjoy the social aspect of participating in a class where participants learn basic strength movements trying to improve overall mobility. The benefits include improved power, static and dynamic balance training, joint range of motion, core stability and stress reduction, reduce risk of falling as well as assist individuals that are faced with health challenges, injuries and disease by helping them to boost their quality of life in a group setting. Evidence-based active participation techniques and modifications are used to prevent muscle deterioration, improve bone strength, improve memory, decrease falls and boost vitality.

The power of group participation and results were never more evident in my resident, Lillian when she met Alan. They both come to classes and spend time at night sitting out by the pond feeding the turtles, bread that I bring them. She has found total happiness again. She takes walks around the lake with him and even has become a Walk With Aegis participant and walks year round (weather permitting). Thank you Alan and Lillian for allowing us to share your special story.

Congratulations to the employees of the 222 Golden LivingCenters who will celebrate earning the Second Quarter 2015 Safety Incentive Program (SIP) award. (Click to see list.)Preventing injuries is the key to our safety program. Following our lift program to eliminate transfer injuries — and simply paying attention to prevent slips, trips, and falls — are two key areas of the program. Using modified duty and effective claims management to minimize the cost if an injury occurs is secondary.

Please proudly share your winning strategies with others in your district. Or if your LivingCenter did not earn the incentive, discuss at your next Safety Committee meeting which programs need to be reviewed and revamped to enable you to earn the SIP in the future.

Award Money Allocated

Each winning LivingCenter is allocated $915 to spend in recognition of its safety accomplishments. (NO check is arriving in the mail!) The Safety Committee and management team should determine the best recognition program (prizes, party, etc.).

Document your decision and feedback in your Safety Committee minutes. Put up a banner or poster if you hold an event to signify that the funding was provided by the Safety Committee due to the great, safe work practices of the employees.

Deadlines

Remember that the money must be spent within 30 days of the award notification.

For the secnd quarter 2015 award, the safety recognition celebration must be completed by Friday, September 11. (It is better to spend the money sooner to reward your employees.)

Spend your award NOW and continue to remind staff to be safe in upcoming months. Thedocumentation of how the money was spent must be submitted by or before, Friday, September 18, in order for the LivingCenter expenditures to be transferred to the appropriate accounts.
